A place for every document.
A next step for every detail.
See how PaperSafeAI turns files into a vault you can search, organize, and act on. Follow the workflows below through real screens from the Mac app.
Bring in a file. Bring out the important details.
Start with a policy, passport scan, or agreement. PaperSafeAI reads it on your computer and presents useful details for you to review.
- Add your document
Open Import Documents and choose files from your Mac, or drag them into the import area.
- Let local AI read it
Follow processing in the app. The first setup may need to download the local AI models.
- Review what was read
Open AI Reader Summary to check names, dates, issuers, and identifiers. Use Review Details to correct or add information.
Desktop reading runs locally. Free includes a processing allowance; Pro adds unlimited desktop processing.
Find the document you remember, even when the filename is vague.
Look for a name, provider, or a detail read from a document. Narrow the results when your vault grows.
- Search your vault
Type a filename or a detail such as your insurance provider in the search bar.
- Narrow the results
Open filters to focus on the document types, dates, or other available attributes you need.
- Open the result
Select the matching document to review its details or open its preview.
Search depends on the information read and indexed from your documents.
Give a growing archive a structure you can follow.
Browse documents by collection, then use folders when you want to choose their place yourself.
- Open Smart Organization
Browse collections for categories such as Identity, Insurance, and Finance.
- Explore a collection
Open a collection to see its documents and narrow them with the available filters.
- Make it your own
Create folders and move documents from Vault Home. Review suggested collection assignments when needed.
Review the extra copy before you clear it out.
PaperSafeAI flags likely duplicates for your review. You decide what stays in the vault.
- Open Duplicate Cleanup
Go to the review area of Smart Organization to find documents flagged as possible duplicates.
- Inspect the candidates
Use the document previews and review controls to check which copies you want to keep.
- Move the extra copy to Trash
Choose the unwanted document’s menu action. Review Trash before permanently deleting anything.
Turn an expiry date into a timely next step.
See documents that need attention and schedule reminders for dates you want to follow up on.
- Check the date
Review the expiry or renewal date read from your document and correct it if necessary.
- See what is coming up
Open Expiry Alerts and review Expiring Soon to find the documents that need attention.
- Choose your next action
Open the document, snooze an alert, or set a document reminder. Your Reminders keeps scheduled follow-ups together.
System notifications depend on your notification settings and OS permissions.
Keep private records beside your documents.
Store structured records such as logins, payment cards, and secure notes in the same encrypted vault.
- Choose a record type
Open Vault Items and add the type of private record you want to store.
- Save the details
Enter the fields you need and save the item.
- Use it when needed
Open the saved item to review, edit, or copy an individual field.
Keep a recovery path under your control.
Create an encrypted archive of your vault and keep your recovery key somewhere separate and safe.
- Create an encrypted backup
Open Backup & Recovery in Settings and follow the backup prompts.
- Store it somewhere safe
Keep the archive and any required passphrase accessible if your computer is lost. Store your recovery key separately.
- Restore with care
Read the restore confirmation before continuing: restoring replaces this machine’s vault and restores the credentials from the backup.
If both your master password and recovery key are lost, PaperSafeAI cannot unlock the vault for you.
Connect your vault to your phone.
Pair a companion phone with your desktop and sync over local Wi-Fi. Manage connected devices from the desktop.
- Start on the desktop
Open the devices control or Your devices under Plan & devices.
- Pair the phone
In the Android app, scan the desktop pairing QR from the phone and approve the request on your computer.
- Let the sync finish
Keep both devices available during the initial transfer. Open your documents on the phone once it completes.
Device sync requires Pro. Desktop-mode AI reading on the phone requires its paired desktop to be available.
Your next document is a good place to start.
