Four Copies of One Policy
How to clear duplicate documents
Every real archive is 20% duplicates. Here's how to get that back.
The same insurance PDF is in here four times. The email attachment, the one I downloaded, the one I scanned, and one I genuinely cannot explain.
— every archive, eventually
Two identical files are easy. The hard case is four different files that are one policy — a scan, a re-scan, a photo and the original share no bytes at all, yet are obviously one thing to a person.
Then stop filing by hand
Organize proposes collections from what the documents are — one provider, one person, one category. Accept what makes sense, ignore the rest.
| When you want to | Go to | What it does |
|---|---|---|
| Clear out repeats | Duplicates | Shows groups it believes are one document, with a keep-one action |
| Group by meaning | Organize | Suggests collections from provider, type and owner |
| Group your own way | Vault Home | Folders you name and fill yourself |
| Undo any of it | Trash | Everything removed lands here first, and can be restored |
Review each proposed duplicate before cleanup
Importing two files with similar names does not establish that their contents are identical. Open each proposed duplicate, compare important details, and keep the copy you intend to use. Move unwanted copies to Trash after review and keep an independent backup.
